ABOUT THE JOB


We’re seeking a proactive and purpose fuelled Programme Coordinator & Team Assistant to dive into a 9-month maternity cover role helping us deliver our latest leadership and change programmes for clients.

 

With previous experience in programme and team scheduling, alongside regular client communication, you’ll quickly become an invaluable team member and point of contact, ensuring the smooth running of key client projects and Outside initiatives.

ABOUT THE ROLE


Working alongside our Programme Management Lead and closely with the CEO and other Client Programme Leads, the purpose of this role is to provide high-quality, programme coordination support to our clients and our team. 


Key outcomes:


  • Providing seamless cover to support live and ongoing client programme needs
  • Key co-ordinator for scheduling and arranging internal team meetings and events, building a strong working relationship with all team members



Client focused responsibilities:

 

  • Collaborate with Client Programme Leads and Programme Manager to manage and schedule key programme activities for the team, client and participants including regular client calls and coaching sessions.
  • Direct and regular liaison with client contacts to co-ordinate programme dependencies, attending meetings as required. This is often on a reactive basis (e.g. finding new availability for programme calls or events).
  • Providing ongoing monitoring and status tracking to all stakeholders.
  • Attending internal team progress meetings.
  • Handling/directing participant enquiries quickly and appropriately to Client Programme Leads.
  • Supporting logistics planning around programmes as required (e.g. venue sourcing and booking, team travel arrangements and itineraries and printing, preparation, packing and shipping for programme events).
  • Proof reading programme materials when required.

 


Team focused:

 

  • Scheduling regular internal team meetings.
  • Planning and arranging logistics around quarterly team events (travel arrangements, venue and hotel booking, catering requirements etc.).
  • Supporting team members with ad hoc diary scheduling and travel booking needs.
  • Providing ad hoc support for office management needs (e.g. arranging access for maintenance and deliveries).
  • Supporting team couriering needs (e.g. shipping books to client events).

 


TO BE SUCCESSFUL, YOU'LL HAVE:

 

  • High organisational skills, with the flexibility to respond to changing situations.
  • High attention to detail and accuracy.
  • The ability to anticipate, and confidence raising potential roadblocks, or quality concerns early to enable actions to be taken.
  • Confidence dealing with people at all levels of an organisation and the ability to build strong relationships.
  • Excellent communication skills, with the ability to determine who needs to be kept informed on specific topics.

 

Our must haves:

 

  • Previous experience working in a similar role in a fast-paced environment.
  • Strong IT skills in all elements of Microsoft Office, SharePoint and virtual call platforms including Zoom and Google Meet
  • An individual who has positive, upbeat energy and lots of enthusiasm!
  • A team player with the ability to take the lead when necessary.

 

 

WHAT WE OFFER:

 

Salary: £30,000 - £40,000 p.a.
